SharePoint Online Key Points
SharePoint Online is a cloud-based collaboration platform offered by Microsoft as part of its Office 365 suite of productivity tools. It’s used for document management, team collaboration, and content sharing. Here are some key points about SharePoint Online.
Document Portal
It is possible to provide a single document portal, segmented by area and with access hierarchy. For example, the finance team can have access to all unified work files, whether via PC, tablet or mobile phone, regardless of the employee’s location. The procurement area, on the other hand, can only have access to files relevant to their area. If any change, the entire team can be notified and works with the latest version of the document.
Cloud infrastructure
The Office 365 platform is entirely cloud-based, meaning the company will not have to worry about acquiring and maintaining servers, electricity costs or hardware depreciation. Scalability is also another advantage, as the company can grow in the number of users without worrying about hardware upgrades.
Mobility
The location of the employee and the device they are using is no longer a problem. Whether or not the company chooses the home office, whether to provide equipment or not, the platform is transparent and everything continues to work normally.
Safety
The Office 365 platform enables security levels such as 2-factor authentication, recycling bin for file recovery, data encryption, security alerts, among other tools so that regardless of the employee’s physical location, the company can guarantee data security and privacy.
Updates
All application version updates and security patches are applied by the platform to all users automatically. The need of the Information Technology team to update the version of SharePoint, or the company to acquire new versions of the product is no longer necessary.
Agile Updates
Microsoft adds new features monthly! This is a perfect approach because we don’t have to wait 2-3 years for new types of sites or web parts.
Compliance
Just access the administration panel to have access to the GPDR (General Law on Data Protection) as the platform already complies with the directives for the protection of sensitive data.
Business process improvement
Increases productivity by automating internal processes such as notifications, approvals, lists and custom file libraries.
Flexibility
Building new pages is now much more comfortable and flexible. You can create a modern page with all the information you need in less than a minute. You can change the layout, move webparts between zones or modify settings in seconds!
UI/UX
The out-of-the-box SharePoint user interface (UI) can be functional, and be quite modern, but that doesn’t seem to be enough for some companies that want to create a better user experience. Designing a UI for the average user is not difficult, but it does require understanding and attention to detail.
In addition to making the user interface look good, the emphasis should be on increasing usability. There are several elements of the SharePoint UI best practice that we follow to improve the user experience (UX) and thereby increase business efficiency.
These key points highlight the versatility and capabilities of SharePoint Online as a powerful tool for collaboration and document management within organizations of all sizes.
